REFUND & CANCELLATION POLICY

1. GENERAL PRINCIPLES

1.1 This Refund & Cancellation Policy forms part of the Aventara Universal Terms & Conditions and applies to all bookings, payments, deposits, transfers, and trip participation.

1.2 Aventara Travel Pty Ltd (“Aventara”, “we”, “us”, “our”) operates under a strict non-refund and credit-based travel model.

1.3 All payments are non-refundable except where a refund is required by Australian Consumer Law.

1.4 Failure to meet payment deadlines may result in automatic cancellation without refund.

2. DEPOSITS

2.1 A standard non-refundable deposit is required to secure a place on any Aventara trip.

2.2 Deposits remain non-refundable under all personal circumstances, including but not limited to:
• Change of mind
• Financial difficulty
• Relationship changes
• Lost interest
• Deciding not to travel
• Illness or injury
• Work or study conflicts
• Visa issues

2.3 Deposits may be transferred to another eligible Aventara trip only if flights have NOT yet been booked.

2.4 Once flights are booked, all deposits become fully locked and non-transferable.

3. Payment Structure & Non-Refundability

3.1 All payments made toward a trip (deposit, flight payment, final balance) are non-refundable once paid, except where a refund is legally required.

3.2 Refunds are not provided for changes in personal circumstance, including but not limited to:
• Fear of travel
• Family events
• Financial changes
• Relationship breakdowns
• Job loss
• Medical changes
• Preference for other trips

3.3 External disruptions (global events, visa denial, airline changes, weather, health issues) do not entitle the traveller to any refund.

3.4 Any goodwill refund issued by Aventara is entirely discretionary and does not create a precedent.

4. TRANSFERS TO ANOTHER TRIP
4.1 BEFORE Flights Are Booked (6–7 months out)
• Transfer permitted if space exists
• $200 administration fee applies
• Deposit may be carried to new trip
• Price differences payable

4.2 AFTER Flights Are Booked
• Flight payment is forfeited and non-transferable
• New flights must be purchased by the traveller
• $200 admin fee applies
• Remaining balance becomes trip credit only

4.3 All transfers are subject to approval.
4.4 No cash refunds are given for any transfer.

5. TRAVELLER CANCELLATIONS
If a traveller cancels for any reason:
5.1 Before Flights Are Booked
• Deposit: forfeited
• All payments: forfeited
• Transfer possible under Section 4 only

5.2 After Flights Are Booked
• Deposit: forfeited
• Flight payment: forfeited
• Final balance: forfeited
• No transfers unless new flights are purchased

5.3 Aventara is not responsible for traveller-initiated loss.

6. Cancellation by Aventara, No-Shows & Emergencies

6.1 Aventara may cancel a trip for:
• Safety
• Minimum numbers
• Political unrest
• Natural disasters
• Airline disruption
• Operational necessity

6.2 In this case, Aventara may offer at its discretion:
• Transfer to future trip
• Trip credit
• Partial refund (rare)

6.3 Aventara is not liable for third-party losses or independently booked expenses.

7. NO-SHOWS & LATE ARRIVALS
7.1 Failure to appear for any transport, activity, or check-in results in:
• No refund
• Full loss of booking

7.2 Missed flights must be self-funded for replacements.

8. REMOVAL FROM A TRIP
8.1 Aventara may remove a traveller without refund for:
• Criminal activity
• Harassment
• Violence
• Intoxication causing risk
• Repeated disruption
• Safety violations

8.2 Removal includes:
• Immediate expulsion
• No refund
• Traveller funds their own return

9. MEDICAL & PERSONAL EMERGENCIES
9.1 No refunds are provided for:
• Illness
• Injury
• Mental health
• Family emergencies

9.2 Travel insurance is mandatory.
