REFUND & CANCELLATION POLICY

1. GENERAL PRINCIPLES
1.1 This Refund & Cancellation Policy forms part of the Aventara Universal Terms & Conditions and applies to all bookings, payments, deposits, transfers, and trip participation.
1.2 Aventara Travel Pty Ltd (“Aventara”, “we”, “us”, “our”) operates a deposit-based booking model for select trips, followed by staged or final payments.
1.3 Deposits may be refundable or non-refundable depending on the specific trip, timing, and circumstances, as clearly outlined at the time of booking and on the relevant trip page.
1.4 Once flights, accommodation, or third-party services are booked on behalf of a traveller, deposits and payments become non-refundable, except where a refund is required under Australian Consumer Law.
1.5 Failure to meet payment deadlines may result in cancellation of the booking and forfeiture of amounts paid, except where required by law.

2. DEPOSITS
2.1 A $500 non-refundable deposit is required to secure a place on any Aventara trip, except where a refund is required under Australian Consumer Law.
2.2 Deposits remain non-refundable under all personal circumstances, including but not limited to:
• Change of mind
• Financial difficulty
• Relationship changes
• Loss of interest
• Deciding not to travel
• Illness or injury
• Work or study conflicts
• Visa issues
2.3 Deposits may be transferred to another eligible Aventara trip only if flights have not yet been booked, subject to availability and approval.
2.4 Once flights are booked, all deposits become fully locked and non-transferable.

3. PAYMENTS & NON-REFUNDABILITY
3.1 All payments made toward a trip (including deposit, flight payment, and final balance) are non-refundable once paid, except where a refund is legally required under Australian Consumer Law.
3.2 Refunds are not provided for changes in personal circumstances, including but not limited to:
• Fear of travel
• Family events
• Financial changes
• Relationship breakdowns
• Job loss
• Medical changes
• Preference for alternative travel
3.3 External disruptions, including global events, visa refusal, airline changes, weather events, health issues, or government actions, do not entitle the traveller to a refund.
3.4 Any goodwill refund or credit issued by Aventara is entirely discretionary, does not create a precedent, and does not alter future policy application.

4. TRANSFERS TO ANOTHER TRIP
4.1 Before flights are purchased (approximately 6–7 months prior to departure):
• Transfer permitted if space exists
• $200 administration fee applies
• Deposit may be carried to the new trip
• Price differences are payable
4.2 After flights are purchased:
• Flight payments are forfeited and non-transferable
• New flights must be purchased by the traveller
• $200 administration fee applies
• Remaining balance becomes trip credit only
4.3 All transfers are subject to Aventara approval.
4.4 No cash refunds are provided for any transfer unless required by Australian Consumer Law.

5. TRAVELLER CANCELLATIONS
5.1 Before flights are booked:
• Deposit forfeited
• Any additional payments forfeited
• Transfer possible only under Section 4
5.2 After flights are booked:
• Deposit forfeited
• Flight payment forfeited
• Final balance forfeited
• No transfers unless new flights are purchased
5.3 Aventara is not responsible for losses initiated by traveller cancellation.

6. CANCELLATION BY AVENTARA
6.1 Aventara may cancel a trip due to:
• Safety concerns
• Minimum participant numbers not being met
• Political unrest
• Natural disasters
• Airline disruption
• Operational necessity
6.2 In such cases, Aventara may offer, at its discretion:
• Transfer to a future trip
• Trip credit
• Partial refund (rare)
6.3 Aventara is not liable for third-party losses or independently booked expenses.

7. NO-SHOWS & LATE ARRIVALS
7.1 Failure to appear for any transport, activity, accommodation check-in, or departure results in:
• No refund
• Full loss of booking
7.2 Missed flights or connections must be self-funded by the traveller.

8. REMOVAL FROM A TRIP
8.1 Aventara may remove a traveller from a trip without refund due to:
• Criminal activity
• Harassment
• Violence
• Intoxication creating risk
• Repeated disruption
• Safety violations
8.2 Removal includes:
• Immediate expulsion
• No refund
• Traveller funding their own return

9. MEDICAL & PERSONAL EMERGENCIES
9.1 No refunds are provided for cancellations or interruptions caused by:
• Illness
• Injury
• Mental health events
• Family emergencies
9.2 Comprehensive travel insurance is mandatory.
